We implement reasonable administrative, technical, and physical safeguards to protect your information. PHI and PII are stored in HIPAA-compliant environments operating under signed Business Associate Agreements (BAAs), including our cloud-based records platform. Operational and clinical management technology platforms, including any AI tools used for administrative support, function as relay interfaces only and are not designated as permanent storage systems for your health information. However, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.

Our website may contain links to third-party websites. We are not responsible for the privacy practices of those sites and encourage you to review their policies.
9. Children’s Privacy

How AI Tools Are Used
AI tools are used exclusively for administrative and documentation support functions, including drafting communications, creating practice materials, and supporting operational workflows. AI tools are not used to make autonomous clinical decisions. All AI-generated outputs that relate to your care are reviewed and acted upon solely by the licensed clinician.
AI Tools Are Not Permanent Storage
AI tools function as relay-processing interfaces, not as repositories for your health information. Any information processed through an AI tool during an active session is not retained by the AI vendor as part of a patient record. Your PHI and PII are stored permanently in HIPAA-compliant systems operating under Business Associate Agreements. This architecture mirrors the established practice of accessing a HIPAA-compliant records system via a personal device: the access interface is a conduit, not the system of record.
Minimum Necessary Standard
Where any reference to patient information is made within an AI session, we apply the HIPAA minimum necessary standard: only the information required to complete the specific task is used. We prefer de-identified or templated approaches wherever the task permits.
Evolving Regulatory Landscape
The regulatory environment governing AI use in healthcare is actively developing. Performance Collective monitors guidance from the U.S. Department of Health and Human Services (HHS) and relevant regulatory bodies and will update this section as formal guidance is issued. Our AI practices are further governed by an internal AI Acceptable Use & Data Privacy Policy (Policy PC-AI-001), available upon request.
